Your privacy matters to us. This Privacy Policy explains what information ProposalHammer collects, how we use it, and the choices you have. By using the Service, you agree to the practices described here.

1. Information We Collect

Information you provide directly

  • Account information: Name, email address, password, and business name when you register
  • Business profile: Business name, address, phone, email, logo, and brand color
  • Client data: Names, email addresses, phone numbers, and job addresses of your clients that you enter into the platform
  • Job data: Quotes, invoices, line items, notes, photos, and related project information
  • Payment information: We do not store credit card numbers. Payment method data is handled directly by Stripe
  • Communications: Messages you send to our support team

Information collected automatically

  • Log data: IP address, browser type, pages visited, and timestamps when you use the Service
  • Device information: Browser version and operating system
  • Session data: Authentication tokens stored in secure HTTP-only cookies

Information from third parties

  • Stripe: Account verification status and payout information when you connect a Stripe account
  • Twilio: Delivery status of SMS messages sent through the platform

2. How We Use Your Information

We use the information we collect to:

  • Create and manage your account
  • Deliver the Service — generating quotes, invoices, scheduling, and payment processing
  • Send transactional emails (quote notifications, invoice reminders, appointment confirmations, password resets)
  • Send SMS appointment notifications via Twilio when enabled
  • Process subscription billing through Stripe
  • Respond to support requests
  • Detect and prevent fraud, abuse, and security incidents
  • Improve and develop the platform based on usage patterns
  • Comply with legal obligations

We do not use your data for advertising, and we do not sell your data to any third party.

3. Your Clients' Data

When you enter client information into ProposalHammer (names, emails, phone numbers, addresses), you are acting as the data controller for that information. You are responsible for:

  • Having a lawful basis for collecting and storing your clients' personal data
  • Informing your clients that their information may be stored in a third-party software platform
  • Handling requests from your clients to access, correct, or delete their data

ProposalHammer processes this data on your behalf as a data processor. We use it solely to provide the Service to you.

4. Google API Services

ProposalHammer allows you to connect your Google Calendar to automatically sync job appointments. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

  • We request access to Google Calendar solely to create, update, and delete calendar events related to your jobs.
  • We do not read, share, transfer, or use your Google Calendar data for any purpose other than creating and managing your job appointments.
  • We do not use Google Calendar data to serve advertising.
  • We do not allow humans to read your Google Calendar data unless you explicitly request support and provide consent.
  • You can disconnect Google Calendar at any time from your account settings. Disconnecting revokes our access immediately.

5. How We Share Information

We do not sell your information. We share it only in the following limited circumstances:

  • Service providers: We share data with vendors who help us operate the platform — including Stripe (payments), Twilio (SMS), and email delivery services. These providers are contractually bound to protect your data and use it only for the services they provide to us.
  • Legal requirements: We may disclose information if required by law, court order, or to protect the rights and safety of ProposalHammer, our users, or the public.
  • Business transfers: If ProposalHammer is acquired or merged, your data may be transferred as part of that transaction. We will notify you before your data becomes subject to a different privacy policy.

6. Support Account Access and Audit Logging

Authorized ProposalHammer support staff may access your account solely for the purposes of troubleshooting issues you've reported, assisting with setup at your request, performing maintenance, or investigating security concerns. We never access accounts for commercial purposes or without a legitimate support reason.

Every support access session is fully audit-logged and includes:

  • The identity of the ProposalHammer staff member who accessed the account
  • The exact date and time the session began and ended
  • The duration of the session
  • A record of significant actions taken during the session (quotes created or modified, invoices sent, settings changed)

These logs are retained indefinitely and cannot be deleted by staff. You may request a copy of any access log for your account by emailing support@proposalhammer.com.

Support staff passwords are never accessed — all passwords are stored as one-way cryptographic hashes that cannot be reversed. Staff access uses a separate internal authentication mechanism that does not require or reveal your password.

7. Data Storage and Security

Your data is stored on servers located in the United States. We implement industry-standard security measures including:

  • Encrypted connections (HTTPS/TLS) for all data in transit
  • Encrypted passwords using bcrypt hashing — we never store plain-text passwords
  • Secure, HTTP-only session cookies
  • Regular security audits and dependency updates

While we take security seriously, no system is 100% secure. In the event of a data breach that affects your personal information, we will notify you as required by applicable law.

8. Cookies

We use essential cookies to maintain your login session and remember your preferences. We also use analytics cookies through Google Analytics to understand how visitors find and use our website (for example, which pages are viewed and the approximate city/country a visit comes from) so we can improve the Service. This data is aggregated and does not identify you personally, and we do not use advertising cookies. You can configure your browser to refuse non-essential cookies, though refusing essential cookies may prevent you from logging in. 9. Data Retention

We retain your account data for as long as your account is active. If you cancel your subscription, your data is retained for 30 days to allow for reactivation or export, after which it may be permanently deleted. You may request earlier deletion by contacting us. Some data may be retained longer as required by law (e.g., financial records).

10. Your Rights and Choices

Depending on your location, you may have the right to:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate data
  • Deletion: Request deletion of your account and associated data
  • Portability: Export your data (quotes, invoices, clients) at any time from your account
  • Opt-out: Unsubscribe from non-essential emails at any time

11. Children's Privacy

ProposalHammer is not directed at children under 18. We do not knowingly collect personal information from anyone under 18. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.

12. Third-Party Links

The Service may contain links to third-party websites (such as Stripe's dashboard or Google Calendar). We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies.

13. Changes to This Policy

We may update this Privacy Policy periodically. We will notify you of significant changes by email and by updating the “Last updated” date at the top of this page. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
